Donor Privacy Policy

Introduction

The Catholic Children’s Aid Foundation (“CCAF,” “we,” “our,” or “us”) recognizes the right to confidentiality of personal information. This Policy explains how we collect, use, store, and communicate your personal information. Our privacy policy is based on the Canadian Standards Association (CSA) Model Code and applies to the personal information of Catholic Children’s Aid Foundation members, donors, and, donor recipients. It does not apply to employees or volunteers. In addition, CCAF adheres to the following codes developed by the Association of Fundraising Professionals and Imagine Canada:

  • Donor Bill of Rights; and
  • Code of Ethical Principles and Standards.

By providing us with your personal information, you consent to the collection, use, storage, and communication of such information as set out in this Policy. In certain cases, your consent may also be implied.

We reserve the right to update this Policy at any time and such modifications will enter into force on the date specified in the update. Please regularly check for changes to this Policy. We will consider that you have accepted the changes to this Policy if you continue to provide personal information to us once the changes enter into force.

Collection, Use and Disclosure of Personal Information

Personal information is collected from potential donors, donors, volunteers and individual grant applications and recipients for the following purposes:

  • To deliver information requested by mail or email;
  • To send general information about the mission and activities of the Catholic Children’s Aid Foundation, but only with your prior consent;
  • To process or request donations;
  • To prevent or detect fraud;
  • To administer your account;
  • To evaluate and modify our website and other communication activities based on the feedback we receive; and
  • For any other purpose required under applicable laws or for any other purpose for which you have consented to.

We collect personal information directly from you when you provide it to us, for example:

  • Online on our website;
  • In emails you send us;
  • When you call us; and
  • When you chat or otherwise interact with us.

In addition to the above, we may also collect personal information when you decide to subscribe to a newsletter, enter a contest or take part in a survey.

The information we collect includes your last name, first name, mailing address, email address, telephone number(s), and your communications with us.

We only collect such personal information that we consider necessary for the conduct of our business and for specific purposes.

Automatically Collected Information

We automatically collect personal information provided by analytical tools or digital markers on our websites and in our applications. These analytical tools only collect a limited set of data, consisting of the Internet protocol address (IP address), date and time of the visit, pages visited, actions on our website, domain used to access the website, the type and version of the browser or operating system you use, as well as the previous and subsequent website accessed. This information is collected using so-called cookies.

Our website also uses Google Analytics, a web analytics service provided by Google, Inc. (“Google”). Google Analytics uses “cookies”, which are text files placed on your device, to help us analyze how users use our site.

The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google uses this information to evaluate your use of the website, compile reports on website activity, and provide other services relating to website activity and internet usage.

We do not collect any information relating to payment cards. Payments made via our websites or applications are processed directly by our service provider, which has sole access to payment card information. Your online transactions are secured in accordance with our service provider’s transmission standards, so that your transactions are routed and processed securely.

How we disclose your information

We will never sell or trade your personal information to anyone.

We will only disclose your information in the following situations:

  • You have authorized us to disclose the information to a third party for a specific purpose;
  • The third parties are acting on our behalf as service providers (including information technology service providers, hosting providers, and marketing solution providers);
  • If a person is acting as your representative or if we reasonably believe that the person has appropriate authorization to act or is a person who owns a service or product jointly with you;
  • To satisfy legal requirements;
  • If we are required to provide personal information in response to a legitimate court order, subpoena to submit documents or investigation by authorities or as otherwise required by applicable laws;
  • If we sell our business or assets, in whole or in part, or is involved in a merger, as required by such a transaction, or as part of due diligence; and
  • As required or permitted by applicable laws.

Children’s information

It is our intention to comply with all applicable laws regarding children’s privacy and advertisements that target them. We do not seek to collect personal information about minors under 14 years of age without the verified consent of the person having parental authority or legal guardian. However, if you believe that we have been provided with information about a minor under the age of 14, please advise us immediately.

International Data Transfers

We may use third-parties to handle personal information on our behalf. We have contractual and other means in place to with these parties that oblige them to handle information in accordance with our instructions and to protect your information in accordance with this policy and applicable law. Some of these third-party providers may be located outside of Canada, and while your information is located outside of Canada it will be subject to Canadian as well as laws of the foreign jurisdiction. Protecting your information

We use third party providers to handle some of our online activities, including online donations. These companies offer secure sites. We select these service providers carefully and take all reasonable precautions to ensure that they protect your personal information. Our online software is routinely updated to maximize protection of such information. The Catholic Children’s Aid Foundation uses Secure Socket Layer (“SSL”) encryption technology to ensure the integrity and privacy of the personal and credit card information you pass to us via the Internet when you make an online donation. The Catholic Children’s Aid Foundation does not retain personal information or credit card information on its website through the use of cookies. That is the reason that online users are requested to complete full information each time they contact us through the website. This is for the protection and privacy of all users. However, we cannot control the use of cookies by third parties who host data for the CCAF.

How we retain your information

We retain your personal information we collect for as long as required for the fulfilment of identified purposes. The retention period depends on the purposes and the nature of the information. On the expiry of this period, we permanently and securely destroy or anonymize the information in compliance with applicable legislation.

We will ensure that your personal information is as accurate, complete and up-to-date as possible for the purposes for which it is used. However, it is your responsibility to advise us of changes to your personal information, such as your contact information.

Application of the Privacy Policy:

  • Mail Communications Catholic Children’s Aid Foundation sends information to donors and other stakeholders by mail. The Fund does not share, trade, rent or sell its mailing or donor lists.
  • Email Communications Catholic Children’s Aid Foundation will occasionally send information and/or newsletter notices through email. This is conducted on an “opt-in” basis only. All emails sent include an ‘opt-out’ option should the individual wish to have their name removed from the email list.
  • Website and Secure Donation Handling Our website is operated by the Catholic Children’s Aid Society of Toronto for the benefit of our members and those interested in supporting our mission. It is free for use by individual web users. We record visits to our website for statistical research purposes only, without recording the identity of the user. Any personal information such as email addresses and financial information collected on The Catholic Children’s Aid Foundation and Catholic Children’s Aid Society of Toronto websites, is knowingly and specifically supplied to us by the website user. We contract third party providers to handle some of our online activities, including online donations. These companies offer secure sites.
